ALTA Best Practices
Our commitment to the highest standards of professionalism, security, and consumer protection.
The American Land Title Association (ALTA) developed its Best Practices Framework to help title insurance agents and settlement service providers demonstrate their commitment to compliance, security, and ethical operations. Coastal Collective Title has adopted these practices across every aspect of our business.
Pillar 1
Licensing
Coastal Collective Title maintains all required state and local licenses to operate as a title insurance agent in Florida. Our licenses are current, properly displayed, and subject to regular renewal and continuing education requirements.
Pillar 2
Escrow Account Controls
We maintain separate escrow trust accounts with strict controls. All escrow funds are held in FDIC-insured accounts, reconciled regularly, and subject to internal controls that prevent commingling and unauthorized disbursement. Three-way reconciliations are performed monthly.
Pillar 3
Data Security & Privacy
We implement comprehensive information security measures to protect non-public personal information (NPI). This includes encrypted communications, secure document management, access controls, staff training, and an incident response plan. We comply with the Gramm-Leach-Bliley Act and Florida data privacy regulations.
Pillar 4
Settlement Procedures
Our settlement procedures ensure accurate, timely closings. We follow standardized checklists for every transaction, verify recording information, confirm lien payoffs, and disburse funds only after all conditions are met. Every closing is reviewed for accuracy before documents are signed.
Pillar 5
Title Policy Production
We produce title insurance policies promptly after closing and recording. Owner's and lender's policies are delivered in compliance with underwriter guidelines and within regulatory timeframes. Each policy is reviewed for accuracy before issuance.
Pillar 6
Consumer Complaints
We maintain documented procedures for receiving, logging, and resolving consumer complaints. Every complaint is taken seriously, investigated promptly, and resolved fairly. We track complaint trends to continuously improve our service.
Pillar 7
Errors & Omissions Insurance
Coastal Collective Title maintains professional liability (errors and omissions) insurance coverage that meets or exceeds industry standards. This coverage protects our clients and partners in the unlikely event of a professional error.
